The Design Firm Time Audit

Find the 12 tasks quietly eating your week — and what they're costing you.

You didn't start a design firm to spend your Tuesday night chasing a vendor for a tracking number.

But most firm owners do exactly that — not because they're bad at their jobs, but because nobody ever sat down and counted the hours. This audit does that counting for you. Twelve questions, sorted into the four places design firms lose the most time. Answer honestly — the point isn't to feel bad about it, it's to see it clearly enough to fix it. For each "yes," write down your honest time estimate, and add it up at the end.

  1. GETTING THE LEAD IN THE DOOR

Do you personally read and reply to every new inquiry, even the ones that are obviously a bad fit? Time cost: 10–20 min per inquiry, several times a week.

Have you ever missed following up with a lead for more than 24 hours because you were mid-install or mid-consult? Time cost: not time spent — revenue not earned. Harder to see, easy to underrate.

Do you manually check availability and go back and forth by email or text before a discovery call gets booked? Time cost: 3–5 messages per booking, easily 15 minutes of your day in fragments.

  1. KEEPING THE PROJECT MOVING

Do you build FF&E schedules by hand from a mood board or a messy list of notes? Time cost: 1–3 hours per room, every project.

Do you personally double-check every order for the right fabric, size, and configuration before it's placed? Time cost: 20–40 minutes per order — and a single miss costs far more than the time it would've taken to catch it.

Do you check your inbox for shipping and delivery updates and manually update your client or your project tracker? Time cost: 5–10 minutes, multiple times a day, across every active project.

When a client gives verbal or written feedback, do you write it down yourself and remember to flag it if it's outside the original scope? Time cost: 10 minutes per round of feedback — and scope creep that never gets flagged costs a lot more than 10 minutes.

  1. TALKING TO CLIENTS (AND GETTING PAID)

Do you write project update emails from scratch for every client, every time? Time cost: 15–30 minutes per update, per client, per week.

Do you personally chase overdue invoices? Time cost: 10 minutes to send the reminder — plus however long you spend dreading it beforehand.

Do you build client presentations slide-by-slide, writing your own talking points? Time cost: 2–4 hours per presentation.

  1. CLOSING OUT AND STAYING IN TOUCH

Do you handle final walkthroughs, warranty paperwork, and testimonial requests manually, project by project? Time cost: 1–2 hours per close-out — the kind of task that's easy to let slide, which is exactly why referrals slip through the cracks.

Do past clients hear from you only when you happen to think of them? Time cost: not time spent — repeat business and referrals not earned. The firms with the best word-of-mouth are rarely the ones working hardest at staying in touch; they're the ones with a system for it.

ADD IT UP

0–3 yeses: You've already automated more than most firms your size. Worth a look at whichever items are left — they're usually the most annoying ones precisely because they resisted a quick fix.

4–7 yeses: This is the average design firm. None of this is a personal failing — it's just what running a firm looks like without the right system underneath it. A few of these, fixed, buy back a full day a week.

8–12 yeses: You are the business's bottleneck, and you already know it. The good news: every item on this list is something an AI agent can already do well — this isn't a "someday" problem.

WHAT THIS IS ACTUALLY POINTING AT

Every task on this list maps to a real, already-built AI agent — not a someday-roadmap item. Lead intake, FF&E schedules, pre-order checks, procurement tracking, revision logs, client updates, invoice follow-up, presentations, project close-out, and client nurture all run inside Honeycomb, HiveLogic's done-for-you AI system for interior design firms. Every agent is built once around your actual workflow and speaks in your firm's own voice — not a generic chatbot tone.

Take the 2-minute quiz to see which agents your firm needs first, or book a free discovery call to talk it through.
